Q.
How to borrow tents
(1) Notes:
  • Each tent comes with 4 water cases.
  • Be sure to fill the four cases with water and then attach them to the bottom of the tent poles to use as weights.
(2) Procedure:
  • Reserve the tents through the Facility Reservation System.
Q.
Food stall, Stalls to sell items- proposal (there is no set format)
(1) Notes:
  • You need to apply in advance. Please submit a proposal which includes the recipe of what you plan to sell. The proposal should also include the recipe.
  • You need to get business license for selling food at Tobu Health Center of Oita prefecture.
  • You must take out insurance for selling food.
  • You need to clarify how to spend sales revenue.
  • Do not sell more than predetermined selling amount.
(2) Procedure:
  • Submit application through survey system
  • emporary Result will be informed later.
  • For food selling, please get a food selling permit at Tobu Health Centerof Oita prefecture, which located in Beppu city.
  • You need to submit copy of certificate and a copy of insurance notification.
  • Finalized result will be informed in three days.
  • All procedure must be completed 2 weeks prior to preferred date.
Q.
Use area around and the fountain
1. Parade use
(1) Note:
  • You have an obligation to consider the safety of your event.
  • If you need to change the date due to bad weather or other reasons, please inform the Student Office as soon as possible.
  • Keep enough space between performers and the audience.
  • Remove all the tapes and other materials after use.
  • Making any sound or noises during class time is strictly prohibited.
  • Please make a tentative reservation through the Facility Reservation System in advance.
(2) Procedure:
  • Submit the “Application to use the wave stage/ the area around the fountain”
  • The Student Office will approve the tentative reservation of the fountain area after approving the event.
  • Please make a tentative reservation for the rehearsal as well.
  • Tentative reservations will be approved or denied by the Student Office.
Q.
Putting decorations by the fountain. (Displaying items by the fountain)
(1) Notes:
  • You have an obligation to consider the safety of your decorations.
  • You need to exam them with a staff member beforehand.
  • Examination must be completed 1 week before your Multicultural Week.
  • If you do not receive approval, you cannot put decorations around the fountain.
  • After use, please remove all the decorations as soon as possible.
  • Submit the “Application to use the wave stage/ the area around the fountain” via Wawa.
  • Please make a tentative reservation through the Facility Reservation System in advance.
(2) Procedure:
  • Submit application form
  • The Student Office will approve the tentative reservation of the fountain area after approving the application.
  • Make your own tentative reservations for rehearsals, etc.
  • Tentative reservations will be approved or denied by the Student Office.

Using the Wave stage
(1) Notes:
  • You have an obligation of considering safety.
  • It is prohibited to make a sound during class
  • Each organization must make a tentative reservation for the facility when submitting the form.
  • Failure to receive approval of the application forms or other related activities will result in the tentative reservation being rejected.
(2) Procedure:
  • Submit “Application to use the wave stage/ the area around the fountain”
  • The Student Office will approve the tentative reservation of the facility after approving the application.

  • Tentative reservations will be approved or denied by the Student Office.
Q.
Bringing items by car
(1) Notes:
  • The “Car Permission” application must be submitted.
  • Please submit the “Visitors” application for a delivery company bringing items.
  • Students cannot drive into school if you did not get permission in advance.
  • You cannot drive into school 3 consecutive days.
  • 2 cars from each organization can be permitted to enter school.
(2) Procedure:
  • You must receive approval from the Student Office.
  • Students must apply for car permission 3 days in advance.
Q.
Cafeteria Signage-Application
(1) Notes:
  • You need to get it approved by Wednesday of the previous week.
  • PowerPoint slideshow or video file can be shown.
  • Be careful of violation of copy rights (Music, Video contents)
  • Use both language (Language subtitles can be shown on the video)
  • The Video file name extension and PowerPoint file name extension must be wmw. (MP4 cannot be accepted) and pps, respectively.
(2) Procedure:
  • You need to get it approved by Wednesday of the previous week.
  • Submit Application to use the big monitor in the cafeteria.
  • Please share the video and materials you wish to use via a cloud link such as Google Drive or bring them to the Student Office.
Q.
The F Building Atrium (open space on 1st floor), Green Commons central stage, Satoyama Gallery, etc.
(1) Notes:
  • You need to get permission two weeks prior to your preferred date.
  • Please avoid disturbing class.
  • Academic Exhibition will be permitted.
(2) Procedure:
  • Submit your application
  • Be sure to check the comments section when your application is approved.
Q.
Visits by Embassy and Consulate Officials
(1) Notes:
  • Students are not allowed to pick up and drop off visitors with their own cars. Please have all visitors use public transportation or taxi.
  • In principle, transportation fees are to be paid by the visitor. If the Week will cover the expense, it is possible to pay the cost within the Week subsidy (up to 70,000 yen) provided by the Student Office. Receipts must be submitted to the Student Office.
  • The Ambassador's visit will be shared with the Office of the President. If the Office of the President chooses to provide support for the visit, it will be shared with the Week.
(2) Procedure:
  • Please consult the Student Office prior to inviting the Embassy/Consulate officials to your Week.
  • Please apply for the "Application for Visitors" via Wawa. In addition, please provide the following information to the Student Office (stueca@apu.ac.jp):

    • The reason for the Official's visit (whether he/she has been invited by the Week or is coming on his/her own)
    • Means of transportation
    • Security measures
